Any member of Cafe Q may post an event on the Cafe Q Calendar provided that it meets the following criteria and is not in conflict with the Terms of Use.
- If the event is open to the public, it must be of substantial interest to LGBT persons in the Sacramento area. However, the event does not have to be LGBT themed nor does it have to be within the Sacramento region. An event of general interest in San Francisco (the Pride Parade) or in Monterey (the Monterey Jazz Festival) would be appropriate. If attendance is limited to selected persons, it must be designated private by checking the appropriate box.
- You may post events held by others, provided you provide complete and accurate information and a website URL or contact information to the person or organization holding the event.
- The event may not be a commercial event in the sense that a substantial portion of the profit would benefit an individual or business except when the event is sponsored by a non-profit (501 c (3)) organization and is reasonably related to the organization's mission. For example, the Lavender Library could sponsor a writer's workshop where a fee is charged that goes partially to the instructor. But an individual photographer could not sponsor a photography field trip and charge a fee that would go entirely to him/herself. Nor can the event be a "presentation" of some sort for the purpose of selling a product or service or attracting customers.
- Businesses may post events held on their premises, provided the events are open to the public and free (e.g. an author's book-signing at a bookstore.)
- You may also list fund-raising events or organizational membership meetings held at commercial establishments provided the event is organized by a recognized non-profit LGBT organization.
- The person posting the event must comply with the guidelines for posting events.
Guidelines for Posting Events
- Each event must have a name clearly stating what it is
- Each event must have an image representing the event or the organization sponsoring the event. The image should be as close to square as possible and as close to 175 X 175 px as possible. All images are cropped and scaled to 175px X 175px. You can use the free resources in Optimizing and Resizing Images to edit your images if you do not have appropriate software. The image can be your organization's logo or a picture that generally describes the event.
- Each event must have a general "Event Type" such as fundraiser, art, music, theater, etc. If the event type is two words, the words must be in quotation marks as in "Book Sale" or "Birthday Party." Please keep descriptions short and general. Use "Memorial Dinner" instead of "Gail Lang Memorial Dinner and Concert." Capitalize each word of the event description. Otherwise, the program will use two different descriptions. Do not be misled by the description given by the sponsor. A Shakespear Festival is "Theater," not "Festival" and a Jazz festival is music while a film festival is film. Only use festival when the event is a combination of different kinds of events such as a "Strawberry Festival."
- Each event must have a street address which may be designated by an intersection like "20th & L Street"
- Each Event must have a starting date and time. If the event has a definite ending time or if it runs for more than one day, it should have an ending date and/or time.
- Whenever and event is held on certain days of the week over a long time period, create a separate event for each consecutive series of days. For instance, a summer theater festival may be held on Friday, Saturday and Sunday of each week from June to September. You would create a separate event for each of the three-day periods. Do not create a separate event for each day.
Events not complying with these guidelines may be removed from the calendar and Cafe Q reserves the right to remove any event it considers inappropriate.
